Administrative/Registration Assistant (Contract)
The Association of Counselling Therapy of Alberta (ACTA) is seeking a highly organized, hardworking and self-motivated Administrative/Registration Assistant to process applications to the Association. The ideal candidate will work with minimal direct supervision and therefore, needs to have superb time management and organization skills. The candidate will be comfortable with general office operations, including email, Word, Excel, data entry, and setting up phone/video conferences. This position represents our organization, so candidates should have good people and communication skills in order to best work with our members.
ACTA is a new Association and it is expected that the administrative duties will evolve and expand with the growth of the organization. Initially this will be a six month contract position and the incumbent will work remotely to process registrant applications. The successful candidate may be considered for a full time administrative position after a six month (or extended) contract period.
Job Duties:
Communication with applicants. This includes answering phone and email inquiries, and handling requests or complaints in a professional manner
Processing applications including review of supporting documentation provided by applicants and entering data into the computer registration program
Referral of non-routine applications to appropriate ACTA Committees for review if required
Coordinate communication between various ACTA Committees
Monitoring timelines and turnaround times for applications
Recording and transcribing meeting minutes
Maintaining office files
Occasional travel may be required to attend face to face meetings or training sessions.
Other administrative/clerical duties may be assigned
Qualifications:
High school diploma or equivalency required
Minimum typing speed of 60 wpm and experience with data entry
Previous administrative experience in an office environment
Good organization, scheduling and time management skills
Excellent communication and customer service skills
Working knowledge of Microsoft Office and standard office equipment
Preference will be given to applicants with experience working for a regulatory college
Preference will be given to those with post-secondary education in Office Administration
